Time Tracking

The WorkNET system tracks two types of time - channel requests (ie. WorkRequests, WorkOrders, Work Tasks, Patient Lists, Vehicle Service, etc.) and overhead (Sick Leave, Vacation, Breaks, Lunch, Contractor Support, etc.).

Time billing records include an optional customer and optional cost center field for each time billing entry.

If the channel request (usually named Work Orders) for which time is being entered has a customer or cost center set, then that customer and/or cost center will be offered as the default for time billing entries for that request.

The "view all" display has been expanded to display customer and cost center for each time billing entry.

NOTE: Any time billing entered prior to May 27, 2005 will not have customers set, but the cost center will be set to whatever the owning request's cost center was set to.

Charging time from a Work Request or other channel name.

A worker assigned to a channel request goes in to the request (where it's assumed they'd be anyway to view the request details and/or work with the request) and adds time billing entries to the request for work they've done. The system is now expanded to allow request owners (where applicable), stop members (where applicable) and channel administrators to enter billable time for OTHER people; i.e., they can enter time for their workers now - the worker doesn't have to do it himself. Regular channel users (workers) can still only enter their own time.

Charging time to Overhead or Standing WorkRequests.

The overhead portion of the system is new, and is the next step towards the development of a COMPLETELY INTEGRATED time accounting module.  Overhead time consists of anything not assigned to channel requests.
It is anticipated that there might be various types of overhead time; for example, breaks, lunch, vacations, sick, etc. Overhead time types are defined by a new code table, TIME CODES. The customer defines the different types of time codes that they may be using,  and those codes are then available for entry.

Workers enter overhead time from the MY ACCOUNT screen. A new section on the right-side column displays the worker's individual and total time for the day, and allows the worker to add and remove overhead entries as appropriate for the day.  (The [X] symbol removes an overhead entry.)   Request-assigned time cannot be deleted from here; it must be deleted from the request; however, requests are hyperlinked from this screen to allow easy access.

Users with personnel edit access can also enter overhead time for other workers, by accessing the target worker's personnel screen. A similar module exists for the target worker on that screen.

Links in these displays allow limited slewing through time by allowing the operator to step forward or backward a day at a time, or return to the present day.

The program does NOT attempt to control or enforce any time of "weekly schedule" or "daily schedule"; however, the total number of hours per day is displayed allowing for easy operator adjustment as appropriate.

Finally, a new workspace module, MY TIME TODAY, allows the user to get an overview of his time for the current day, right from the system home screen workspace.

Using the Time Report to obtain information.
A new system privilege has been added, "TimeRpt".  Users in access groups with this privilege (and all system administrators) see a new choice in the "System" menu called "Time".

Clicking on this link takes the user to a search screen.  The user puts in a date range, and optionally specifies a specific worker, and work type (chargeable or overhead).  The search is executed, and the requested data is provided via onscreen report.

Spectrum Group has also enhanced the existing time reporting at System->Time (5/29/2005).  The search now allows for limiting to worker, customer, and/or cost center, as well as selecting between manual entries (made to the worker record outside of a channel), all channels, a specific channel, or all time combined. The search results screen now matches the time entry screen, with additional fields.
